Use of Direct Import Routines

Tecsys provides a utility program which enables our customers to import data directly into the database. The use of this import routine provides the ability to mass update data which could otherwise be tedious and time consuming to enter through regular programs.

Since this routine was primarily designed for use at start-up by Tecsys personnel, it does not provide the checks and balances that the regular programs do nor does it provide an audit of what has been updated. Validation of such imported data can easily be missed and relationship checking cannot readily be performed so there is considerable reliance that the source data is correct in the first place. As a result, there is the potential that these routines can corrupt your database.

Customers opting to use this direct import routine, must understand that there is risk in doing so. Some problems that may occur include:

• Data being imported into the wrong fields
• Existing data wiped out by mistake
• Incomplete updating of data
• Updating of one data field, but a related field (which relies on that data) is not updated
• Updating of data in one file but related files not updating, causing an imbalance(s)
• The data itself is incorrect
• The data being imported contains unprintable, incorrect characters

Note: There is no 'undo' option available. Once you import data directly into your Enterprise database, you cannot automatically undo the action. Any changes or corrections required to the database must be done manually.

Tecsys recommends that our customers utilize Tecsys resources to assist with any imports. This reduces the risk, however such risk cannot be entirely eliminated. Support for any resulting problems is not covered under your support agreement. Therefore, any time spent by Tecsys staff on data imports or corrections to faulty data imports is considered billable.

Tecsys also recommends that imports are run immediately after a back-up, prior to any further activity and that, once the import is complete, the data is checked immediately for accuracy.

If the import is to be run on a regular basis, Tecsys recommends that a special custom import program be designed & developed which validates all the data elements. This will assure that all related data and files are taken into consideration and will provide for an audit report of the imported data.
